Tenancy Schedule (Agent Version)

Within the ‘Tenancy’ module you will find the advanced rent schedule; in this window there are various tabs along the bottom.

 

Re-Create Schedule

This function allows you to re-create the schedule, if the rent amount/frequency etc. have changed. When you select ‘Re-Create Schedule’ it will ask –




 

Say ‘Yes’ to that and the schedule will clear and the ‘Charging Schedule’ window will appear

 

Make your amendments, for example change rent to £150 and click ‘Save’ the new amended schedule will now appear – You can also set increases and decreases for certain dates (applies to commercial properties only)

 

 

Raise Due

This tab, when selected, brings up the ‘Recurring Charges’ window to allow you to ‘Post Transactions’ for this individual tenancy only





You can enter a forward date in ‘Include up to’ and ‘Refresh’ and this will bring up future transactions for you to post

 

Recurring

This tab, when selected, allows you to enter a recurring charge within the schedule, for example service charge –

 

 Enter options below:

 Type – Invoice or Credit

First Charge – When you 1st want the charge to start

Amount – Value of charge

VAT – 1 if VAT Applicable – ‘9’ if Non VAT Applicable

Description – Brief description of charge

Group – Reference to what the charge is i.e. Benefit/Service/Rent etc.

Nominal – 2160 (client control account)

Frequency – How often you want to charge, i.e. weekly/monthly/yearly etc.

Charge – Either ‘In Advance’ or ‘In Arrears’

Last Charge – When you want the last charge to be raised

Paid by – Who you want to, collect the amount from, i.e. Tenant/Benefit etc.

Paid to – Who you want to pay the amount to – Agent / landlord

Requires Invoice – Tick this if requires invoice (this will be generated in sage)

 

And click ‘Create’ – this will now incorporate the charge within the schedule –

 

Single

This tab, when selected, allows you to enter a single charge –

 

Enter options below:

Group - Enter the group that the charge falls under

Date – When you want the charge to raise

Type – Invoice or credit

Nominal – 2160 (control client account)

Description – Brief description of charge

Net – value of charge

VAT - ‘1’ if VAT Applicable ‘9’ if Non-VAT Applicable

Paid by – Who you want to, collect the amount from, i.e. Tenant/Benefit etc.

Paid to – You can either select to pay the Landlord or Agent

Requires Invoice – Ticket this if requires invoice (this will be generated in sage)


And click ‘Save’ – this will now appear in the schedule

 

Edit

If you highlight one of the transactions and click ‘Edit’ the transaction details will appear for you to ‘Edit’.

 

Make your adjustments and then click ‘Save’.


 The amended transaction will now appear in the schedule

 

Delete

This function allows you to delete a transaction from the schedule, highlight the transaction to be deleted and click ‘Delete’

 

 A new window will appear, Click ‘Yes’ and the transaction will be deleted from the schedule.

 

Print

This function allows you to print the schedule

Other functions within the schedule window are:

 

View Type

In the top left of the schedule window you can select from a drop down list ‘Date/Group or Payee’ this will change the view of the schedule

In the middle of this window at the top, you have ‘Hide posted items’ if you UN-Tick this it will allow you to view posted items
