The Contacts Module

The ‘Contacts’ Module, pictured below, consists of:


Options Section

 

New Contact

This will open up the ‘New Contact’ window allowing you to add contacts and all applicable information into the portfolio.

Edit Contact

Highlight the contact you wish to edit from the contact list and click here or just double click the highlighted contact for the same effect.

Delete Contact

Removes the highlighted contact from the system (it will only remove contacts if there are no current tenancies attached). Be aware that this will delete ALL attached notes, documents and emails, however, it will NOT delete any posted financials as they will exist in Sage against the applicable department code.

Import Sage Contacts

Allows you to import your contacts from Sage

Contact Receipt

This allows you to receipt money, from a contact before they are a tenant

Outlook Section

 

Send to Outlook

This allows you to send your contacts to your outlook account

Communicate Section


Letter/Email/SMS

Please see document ‘Sending Mass Letters, Emails and SMS’ for more details

Print/Export Section


Export to Excel

Will export the current ‘view’ to an Excel Spreadsheet, i.e. if the filter was set to ‘Tenants’ it would export that list of ‘Tenants’ on to an Excel Spreadsheet

(This currently only works with Microsoft Excel)

Print List

This allows you to print the list

Reports

When you click on this it displays a few reports you can print –


Dashboard

Can produce Graphs (Bar, Pie, Doughnut, Line etc) for particular Filters from the ‘Contacts’ dashboard.

Tag Section


Tag Mode

This section allows you to select multiple entries at once (by ticking each one) for mass communication. For example selecting SMS and selecting a template allows you to merge the selected contacts.
