Tenancy Activation - Agent Version
- Go to the tenancy module.
- Double click on the pending tenancy you wish to activate.
- If a window pops up asking 'Do you wish to set the status to ACTIVE' click 'No'.
For expired tenancies only; if you see the expired tenancy information window click 'OK'. Select on the next window 'Yes' if the tenancy is extended on a periodic basis. Click 'No' if the tenancy is extended on fixed terms.
- If all information in the tenancy window is correct, please select change status.
- In the window 'Change the Status of the Current Agreement', change to active is already preselected so you need to confirm that by selecting change status.
- Click 'Yes' to the following window.
- The next window that will appear is the 'Charging Schedule'. This is the most important window for future transactions so it is important that at this stage the correct information is entered.
- Under the rent tab there are 3 options:
1. New Tenancy (If the tenancy is new).
2. Opening balance (if tenant has opening balance when you moved from your old system).
3. Continue with Sage financial activity or existing tenancy (if the tenant is not new but has no opening balance).
Depending on the property management type, charging schedule will be raised accordingly. There are 3 types of management:
1. Full management (in charging schedule, charges should be raised for remaining months of the tenancy against nominal code - landlord, client control account - if you are using the default as 2160).
2. Let only (in the charging schedule for new tenancies there should be only 3 options: deposit charge against control nominal code, 1st month rent against Landlord/client control account, and charge for let only fee raised against the Landlord.
3. Guaranteed income (charging schedule should be raised against a nominal code from the 400 range).
