Sending Individual Letters, Emails and SMS
- Double click on the desired Contact / Tenant / Landlord you wish to send a Message / Letter / SMS to.
- Once in a “Contact Record” go to the “Communicate” button, you will have the option to “Send an Email”, “Send a SMS message” or “Send a letter”.
Send an Email
Clicking the “Send an Email” button will bring up the Email screen;
- from here you can send an individual email to a contact, fill in the subject and body of the email and click “Send”.
- You can attached documents to the email if required using the “Attach” button.
- If you want to send the email to more than one person such as to a Landlord and Tenant you can click the “TO” or “CC” button to copy in the other contact.
- You can even use templates if required by clicking the ”Template” icon.
Send a letter
To send a letter, select the “Send a Letter” option on the communicate list on the contact record;
- You will then be presented with the “Send Letter” window with the option to mail merge any general letter.
- You can create more in the “Documents Centre” in “Preferences” and “Save” them as type “General Letter” to see them appear on this list.
- You can then merge your letter by pressing the “Merge Letter” button and you can then print the document.
Send SMS Message
To send SMS message select “Send a SMS message” option on the communicate list;
- This will then open the SMS window.
- the contact box will be automatically filled with the contact you selected the Send SMS option on, the telephone number will also default to the contact selected.
- You can either type a message into the message text field (yellow box below) or you an click on the “Template” button and select a predefined template.
- When you select the template it will automatically fill the message box with the template and mail merge fields. Now click “Send”
