Double click on the desired ‘Contact/Tenant/Landlord’ to whom you
want to send an ‘Email/Letter/SMS’
Once in a
‘Contact Record’ go to the ‘Communicate’ tab, you will have the option to
‘Send an
Email’, ‘Send an SMS message’ or ‘Send a letter’.
Send an Email
Choosing the
‘Send an Email’ option will bring up the ‘Email’ screen; from here you can send
an individual Email to a contact. Fill in the subject and body of the Email and
click ‘Send’.
You can
attach documents to the Email by using the ‘Attach’ button. If you want to send
the Email to more than one person such as a Landlord and a Tenant you can click
the ‘to’ or ‘cc’ button to copy in the other contact. You can even use
templates by clicking on the ‘Template’ icon.
Send a letter
To send a letter select the ‘Send a letter’ option within the
communicate list in the contact record.
You will then be presented
with the ‘Send Letter’ window with the option to mail merge any general
letters.
You can create more in the
‘Documents Centre’ within ‘Preferences’ and save them as type ‘General Letter’.
They will then appear in the list below.
You
can then merge your letter by pressing the ‘Merge Letter’ button and you can
also print the document.
Send SMS Message
To send an
SMS message select ‘Send a SMS message’
This
will then open the SMS window, and the contact details will be filled in. You
can either type a message into the message text field or you can click on the
‘Template’ button and select a pre-defined template.
By
clicking on ‘Template’ this brings up the ‘SMS Templates’ window. In here you
have the option to ‘Select Template’, Create ‘New Template’ or ‘Edit Template’
When you select the template it will automatically fill the
message box with the template and mail merge fields. Click ‘Send’. Your SMS
will then be sent to the relevant contacts mobile number.
