Property Management Tab

 

 

The 'Management' tab from within a property record is where you can enter management information for individual properties.

 

Management – Insurance Records

 

- In the ‘Property’ module double click any property to open the property details screen, and from here go into the “Management” tab (bottom bar).

- you will be presented with the 'Management' Screen where you can choose from Insurance, Inspections, Contracts, Utilities, Tenants, Contacts, Inventory, Keys, Jobs, More info and Search.

- On the ‘Insurance’ section you can add any new insurance documentation and add dates, the type of insurance cover etc, to add a new insurance policy go to the “Add” button on the bottom of the screen.

- The next screen presented will be the 'Insurance' screen. You have the following options available such as the provider, contact type, policy type and number, premium, cover start and end dates and specific cover values to type of      insurance (buildings or contents etc.). You can also use the 'Notes' tab to add any additional information if required.

- You have the choice also to use the 'Renew' button, which will set the dates a year in advance if you want to update this in Decorus Essentials. It also gives you the option to attach any documentation to this particular policy by          clicking on ‘Attach’. Once you are happy with the information you have input you can ‘Save’ the policy or ‘Cancel’ out to cancel any changes. When you have saved any information the policy will show on the insurance tab and          appear in ‘Insurances Renewals’ (in overview screen) when it is due to expire (dependent on what your default setting is for expires, this will appear for example 30 days before due).

 

Provider - Clicking the provider button will allow you to select the contact in relation to the insurance policy, if the provider is not on the list you can add them as a contact if desired.

Contact Type - Although the provider will have a contact type I.E supplier or landlord for example you can give them a unique type on this screen. To do this you can simply add the type of contact they are.

Policy type -  You may also select the policy type for example the insurance may only cover contents or building, or it may cover both. You may also add any addition types if required. 

Premium - This will allow you to enter the cost of the insurance policy.

Cover start / cover end - you can enter the start and end date of the policy, if entered this will also flag up on the expiring insurance policy (Insurance Renewals) on the overview screen when the policy is close to the end date.

Buildings / Contents / Stock cover - If you desire, you can enter the breakdown of the cover per policy, for example - you may have covered buildings up to £100,000, contents up to £5000 and stock up to £1000.

 

Management - Safety Inspections

 

- From the Property 'Management' tab click to the 'Inspections' section and click 'Add'. Here you may enter a new Safety Inspection for that particular property.

- Fill in the fields as in the ‘Insurance’ tab (Provider/Contact Type/Type/Cost/Starts and Ends)

- using ‘Reference field’ – you can enter a reference with regards to the relevant inspection.

- You can attach a document by clicking on ‘Attach’

- Renew the inspection by clicking ‘Renew’

- set up a work order by clicking ‘Work Order’

- once all actions are complete, click ‘Save’. This will then appear under ‘Inspection’ tab in ‘Property’ record and appear in overview screen under ‘Safety Inspections’ when due to expire.
