Payment on Account and Allocating Payment to Rent

Payment on Account

Go to ‘Tenancy Receipt’ within the ‘Tenancy’ Module - once you have selected the tenant, enter ‘Date’ & any ‘Reference’

In the ‘Amount’ column enter the value you wish to put as a payment on account then click ‘Post Receipt’


It will ask ‘Are you sure you want to post this receipt into sage’ – click ‘Yes’

 

It will now say ‘There is an unallocated balance of £**** Do you want to pay this as a payment on account’ – click ‘Yes’

 

Allocating Payment to Rent

If the payment on account is less than the Rent Charge

Once you have selected the tenant, enter ‘Date’ & any ‘Reference’ – then click on ‘SA’ line once and click ‘Pay in Full’ (bottom left corner) – this will create a minus figure in ‘Amount’


Now click on the ‘SI’ line once, the ‘Enter Receipt’ box will appear in the bottom right corner, enter the amount and then click back on the ‘SI’ line again – this will put the ‘Amount’ to ‘0’ – ‘Post Receipt’


The transaction has now been allocated to the rent.

The transaction will now appear in the ‘Clear Receipt’ window


If the payment on account is greater than the Rent Charge:

Select the tenant, enter ‘Date’ & ‘Reference’ (if required), and the screen will display the payment in advance plus any rent charges.

 

Click on ‘SA’ line once, the ‘Enter Receipt’ box will appear in the bottom right corner

 

Enter the receipt amount and Press ‘Enter’ (that amount appears in the ‘Receipt’ column against the ’SA’)

 

Click on the ‘SI’ line once (the receipt amount appears in the ‘Receipt’ column against the ‘SI’)

 

Click on ‘Pay in Full’ (bottom left corner).

Click on ‘Post Receipt’

The transaction has now been allocated to the rent.

 

For Agent Version Only

The transaction will now appear in the ‘Clear Receipt’ window. Click on ‘Clear Receipt’ This brings up a message

 

Clicking ‘Yes’ means the receipt is posted to the landlord account and will bring up another message

 

Clicking ‘Yes’ generates a landlord statement now, or clicking ‘No’ means you want to generate it manually later.


Part Payment

If a tenant has only made a part payment to rent, within the ‘Tenancy Receipt’ window, click on the rent transaction the part payment is to be allocated, which will display ‘Enter Receipt’ box – enter the amount to be paid and click ‘Enter’ on your keyboard, this will then allocate the part payment to rent.


You will then see the amount show in the receipt column


Click ‘Post Receipt’ then click ‘Yes’ to the next window

 

For Agent Version Only

The transaction will now appear in the ‘Clear Receipt’ window


When you go back into the ‘Tenancy Receipt’ window, it will display the remaining amount to be paid
