From the tenancy module select Tenant invoice from the tenancy menu. The tenancy invoice form will popup. Use this form to add a one off tenant charge to a tenants’ schedule. This charge relates to money that the tenant owes to you, the agent, and not the landlord.
For example you may have had to purchase a new set of keys and you are charging the tenant to recover the money.
Select the tenant from the tenant list by clicking on the small square button at the right end of the contact field. When you have selected the tenant, the tenants’ property details should appear below. Enter the date and select the nominal account that relates to this kind of income.
As this is income coming into your accounts the nominal account will be somewhere in the range 4000 – 4999. These are the Sage income accounts.
Enter the basic description of the item in question. Enter the amount. If you are VAT registered set the vat code to 1, otherwise set it to 9. If the tenant requires an invoice for the expense, tick the
invoice required box and add the text in the textbox below. When you are ready click on the Post button, top left, on the form.
This will post a sales invoice into the tenants account in Sage and add an item to the tenants charging schedule. It will also update the outstanding balance of the tenants account.
If you ticked the – Invoice Required option, it will create an invoice in Sage that can be printed out and sent to the tenant.
