Give Notice, Renew and Complete a Tenancy

 

- Go to the ‘Tenancy’ module

- Double click on the tenancy for which you wish to ‘Give Notice’.

- Click on ‘Change Status’ and another window will appear.

- In this window you will see that ‘Notice Given’ is already pre-selected.

- Enter the date the tenant gave notice and place a tick in the ‘Advertise this property’ box.

- Then click ‘Change Status’, it will ask ‘Are you sure you want to change the status of this agreement’, click ‘Yes’

- The status has now changed to ‘Notice Given’ 

- When you click ‘Advertise this Property’ it makes it available so if you have a new tenant already for this property you can move them in before the old tenancy ends.

- Repeat the process, this time you will notice ‘Change to Moved Out’ is pre-selected, enter the date the tenant moved out and click ‘Change Status’

- It will ask ‘Are you sure you want to change the status of this agreement’ – click ‘Yes’

- The status has now changed to ‘Moved Out’.

- Repeat the process, this time you will notice ‘Changed to Completed’ is pre-selected.

- If you are happy to complete and there are no more outstanding charges, click ‘Archive’ and you will notice ‘Clear down Schedule’ will appear.

- This will clear any outstanding schedules, if there are any

- You will notice that ‘Suspend Charges’ will be ticked, this will suspend any charges going against the tenancy.

- Click ‘Change Status’

- It will ask ‘Are you sure you want to change the status of this agreement’.

- Click ‘Yes’.

- Then click ‘Save & Exit’.

- This tenancy will now be in ‘Completed’ and the property will show as available under the ‘Property’ module.

 

Renewing a Tenancy

 

- A tenancy that is due to expire will appear in the ‘Expiring Tenancies’ filter on the left hand side in the ‘Tenancy’ module 60 days prior to the expiry date (can change the 60 days default in preferences).

- If you click on the tenancy you wish to renew a warning box will appear.

- At this point you have 5 options, you want to choose either 'Renew Agreement' or 'Continue on a Periodic Basis' and click ‘Continue’.

- 'Renew Agreement' will bring a new box up down the right hand side.

- If you have un-posted rents, for example 2 months left of tenancy, make sure this box is un-ticked, however if this box is ticked, that means everything that is in the Schedule will be deleted (make sure you double check before updating)

- It will pre-select the date to continue from the last date of the agreement; you can alter any of these fields or if you are happy with the schedule, click ‘Update Agreement’.

- It will then change the right hand side to show ‘Check List’ and if you go to ‘Activity’ & ‘Schedule’ you will see that a new schedule has been created.

- click ‘Save & Exit’. 

- If you choose ‘Continue on Periodic Basis’ and click ‘Continue’ The same box will appear down the right hand side, however this time ‘Periodic’ is now pre-selected.

- If you are happy for it to continue on periodic, click ‘Update Agreement’

This time a schedule will not be created it will create a transaction every month on the date set until you end the agreement – ‘Save & Exit’
