You will
notice in each of the modules below, there is a ‘Communicate’ section.
The ‘Communicate’ section includes ‘Letter’, ‘Email’, and
‘SMS’ (Text).
Each module will have specific templates based on that
module. For example, opening the
‘Letter’ templates in the ‘Landlord’ module will have different templates from opening
‘Letter’ in the ‘Supplier’ module.
Merge templates for Letters
Tenancy
You will be presented with the ‘Send Letter’ screen. Click on ‘Templates’
you will then be presented with the ‘Mail Merge’ screen. Click on ‘New
Template’ to create a new document from scratch or click ‘Edit Template’ to
amend a current template.
Click on the
‘Email’ icon in any of the tabs listed below:
Tenancy
You will then be presented with the ‘Group Email’ screen. Click on
the ‘New’ or ‘Edit’ template.
From the template screen you can select the type of template
you want, such as a ‘Landlord’ template or ‘Tenant’ template. Add the
description and subject then create the body of your message and choose from
the mail merge fields on the bar, along the top, like the example below. Once
you have created your template click ‘Save’, this will now be saved in your
‘Group Email List’ as a Landlord mail merge Email.
Merge Templates for SMS (Text)
Click on the
‘SMS’ icon in any of the tabs listed below:
Tenancy
This will open the ‘Group SMS’ screen, from here click on
‘Templates’, to open the ‘SMS Templates’ window.
Click ‘Edit’ or ‘New’
template. Add the description and
subject then create the body of your message and choose from the mail merge
fields on the bar along the top, as shown in the example below. When you have
completed click ‘Save’ and ‘Exit’. Your template will now be saved.
