Creating Mail Merge Templates for Letters, Emails and SMS
You will notice on the modules; Tenancy, Landlords, Suppliers, Contacts and Applicants, there is a “Communicate” button section. The communicate buttons include “Letter”, “Email” and “SMS”. Each module will have specific templates based on the module, for example opening the “Letter” templates in the Landlords module will have different templates from opening them in Suppliers.
Mail merge templates Letters
- Click on the “Letter” button on either of the tabs:

Suppliers
Contacts
Applicants
- You will be presented with the “Send Letter” screen.
- Then click on “Templates” to be presented with the “Mail Merge” screen.
- Click on “New Template” to create a new document from scratch or click “Edit Template” to adjust a current template.

Mail Merge Templates Emails
- Click on the “Email” button on either of the tabs:

Suppliers
Contacts
Applicants
- You will then be presented with the “Group Email” screen.
- You can then click “New” or “Edit” template.
- From the template screen you can select the type of template you want, such as a Landlord template or Tenant template.
- Add the description and subject then create the body of your message and choose from the mail merge fields on the bar along the top.
- Once you have created your template click “Save”, this will now be saved on your “Group Email List” as a Landlord mail merge email.

Click on the “SMS” button on either of the tabs:

Suppliers
Contacts
Applicants
- This will open the “Group SMS” screen.
- From here click on “Templates”, to open the “SMS Templates” screen and click “Edit” or “New” template.
- Add the description and subject, then create the body of your message and choose from the mail merge fields on the bar along the top.
- When you have completed “Save” the template and “Exit”.
