Creating a Pending Tenancy

Within the ‘Tenancy’ module click on ‘New Tenancy’.


 You will then be presented with the ‘Tenancy-New’ screen and the ‘Contact List’ will automatically show over the top. This screen is prompting you to select the contact you wish to add to a property to create the tenancy.

(Notice Tenant and Applicant are automatically selected in orange.)

 Click once on the desired contact to highlight in blue, and then click ‘Select Contact’.











It will now display the 'Property List' window, select the property in the same way









If an applicant has been assigned to a property when created, then the ‘Property List’ will not appear, it will automatically select that property and the window below will appear.

Fill in all other details such as the start date and the term (this will define the end of the agreement). The rent is the ACTUAL rent the tenant will pay and not the target/desired rent on the property record.

Be sure to select the correct frequency and the benefit, if any.


Benefit

 The ‘Benefit’ button will open the benefit screen; on here you will set the contribution of rent that the tenant pays and what the benefit agency will pay, also the frequency of each payment. The ‘Total Rent’ will calculate and should match the agreed rent on the previous tenancy screen.

On the ‘Paid by’ section you must select the Local Authority/Benefit payer from your list of contacts, if they do not exist yet you will be able to create a new contact from this screen.








The ‘Benefit Reference’ will usually contain the address of the property but may be changed if desired; the ‘Narrative’ should be kept as default.

The ‘Benefit Nominal’ is what you set in your nominal ledger; this could include just rental income or could be a unique nominal just for benefit income.

The Benefit VAT code should be 9 as VAT is not charged on a benefit payment.

Once all the details are correct select ‘Update with Benefit’.


Deposit

 Enter the amount of deposit you will request from the tenant this will be raised when the tenancy is set to active on the charging schedule.

You should select the deposit holder whether it be the Deposit Protection Service or yourself etc.

Select the type of deposit whether it is custodial (held by DPS), Insured (Held by Landlord but covered) or held directly by the landlord.

Select when the deposit was taken from the tenant and registered if applicable, you may also put any applicable reference if required. Then ‘Exit’





 

 Once all details are completed and you are happy, click ‘Save and Exit’  (top Left of screen)

You will then be prompted with ‘Do you want to change the status to ACTIVE’, click ‘No’ to make this a pending tenancy.
