Adding a New Contact in Decorus

To add a new contact in Decorus, navigate to the 'Contacts' Module and select 'New Contact' -



You will then be brought to the new contact form where you can enter your contacts information. 
Here you can enter key information on the contact such as their name, salutation and contact information

Highlighted and numbered, are some key fields which we will cover in more detail



1.     The 'Account Reference' field, is used to link contacts in Decorus to contacts in Sage. This can be matched to an existing account reference or a new one can be created.
This reference must be unique.

2.     The 'File As' field is what is displayed in different records throughout the software, such as tenancy records and job records.

3.     This is the GDPR field, as of May 25th 2018 your contacts must give you permission to send them promotional information and other electronic communications. You can amend the options in this box to confirm that the contact has given GDPR consent.

4.     This is the field where you can enter a contacts email/s. Please note that that you can only send emails to contacts if the contact in question has given GDPR consent.

5.     Here you can enter the contacts Mobile Phone number. Please note that that you can only send text messages to contacts if the contact in question has given GDPR consent.

 Applicants

This is the requirements section. If the new contact you are creating is an applicant, as marked by the applicant tick box in the bottom left corner, then you can specify the applicant’s preferences and requirements here. These filters will be taken in to account in other areas of the software when measuring your applicants against your properties.



Company Details

To enter your contacts 'Çompany Details', click on to 'Information Bar' and the click on to 'Company Details' - 



When you do this the default information bar page on the right-hand side, the Applicant Requirement page, will be replaced by the company details page, you can change this back by selecting Property Requirements in the information bar.

After you have changed the information bar settings to the Company Details you will be able to change your contacts company details and configure the payment terms for the contact. Your default payment terms and the narratives for these can be configured in preferences under the 'General' tab -
 

The company field you select here determines which Sage company your new contact will be linked to. It is important to select the correct company here to ensure your financial information remains correct and your filters display the correct results.
